Forty orders in a day. Forty times typing some version of: "Thank you, your order is confirmed, we'll deliver Tuesday, please send proof of payment."
By order twenty-eight your thumbs are tired. You type Tuesday when you meant Thursday. You quote ₦2,500 delivery to the Surulere buyer and ₦4,000 to the one in Ikeja — swapped. You forget to paste your account number at all, so the buyer sits there wondering whether to send money or not.

Each one pulls you out of whatever you were doing — packing, replying to a new buyer, eating. Two minutes each, but the real cost is that you lose your place.
Do the arithmetic once. Forty confirmations at ninety seconds is one hour. Fifteen follow-up messages at two minutes is another half hour. That is ninety minutes a day spent typing things you already know, and it is the same ninety minutes you keep saying you don't have for sourcing or marketing.

What a good order confirmation actually contains
Most confirmations fail because they are too short. "Order confirmed, thanks" tells the buyer nothing she can act on, so she messages you again to ask.
A buyer who has just agreed to send money to someone she met in DMs wants proof that you understood the order exactly. Give her seven things:
- Her name. Not "Hi dear." Her actual name.
- What she ordered — item, colour, size, quantity, spelled out.
- The money, broken down — item ₦18,500, delivery ₦2,500, total ₦21,000. Never just the total.
- How to pay — account name, account number, bank. Or your Paystack link. Or clear cash-on-delivery instructions.
- When it arrives — a day and a time window. Not "soon," not "by God's grace."
- Where it goes — read her address back to her. This is where wrong-address disputes die.
- An order number and what happens next — so she can quote it instead of forwarding you a screenshot of a chat from last week.
The order number matters more than sellers expect. It does not need software. Use the date plus a count: 0810-07 is the seventh order on 8 October. Now when she messages, you find the order in three seconds instead of scrolling.
The template you can copy and use today
You do not need to sign up for anything to fix most of this. Take this, change the bracketed parts, and save it.

For cash on delivery, replace the payment block with this:
PAYMENT: Cash on delivery. Please have ₦[21,000] ready — the rider carries little change. Prefer to transfer before delivery? Tell me and I'll send my account details.
Now stop retyping it. Save it once in one of these places:
- WhatsApp Business quick replies. Settings → Business tools → Quick replies. Give it the shortcut /confirm. Typing /confirm drops the whole message into the chat.
- Your phone's text replacement. iPhone: Settings → General → Keyboard → Text Replacement. Android: Gboard → Dictionary → Personal dictionary. Set xconf to expand into the message.
That takes ten minutes and cuts each confirmation from ninety seconds to about twenty-five, because all you edit are the brackets. Do this today even if you read nothing else here.
Be honest about what it does not fix, though. You still have to be holding your phone. At 11pm, or while you're at Balogun market with both hands full, the buyer still waits.
Why written confirmations kill disputes before they start
Nigerian sellers lose money to three things, and a proper confirmation blunts all three.
"I've sent it." The screenshot arrives. It is from a different transaction, or a failed one, or it says "pending." When your confirmation already stated the exact amount and account, you have a clean reference to check against your alerts — and a polite line to reply with: "I can't see ₦21,000 on order 0810-07 yet, please check and resend."
"That is not what I ordered." Colour disputes, size disputes, "I said two, not one." If the confirmation named the item precisely and she did not object before delivery, the conversation is short and unemotional.
Card chargebacks. If she paid you through Paystack and later disputes it, the bank asks for evidence that a real order existed and was delivered as described. A timestamped confirmation with items, price, address and delivery date is exactly that evidence. Sellers who cannot produce it usually lose.
There is a fourth, quieter loss: the buyer who goes silent. She transferred, heard nothing for four hours, decided she'd been duped, and told two friends. Silence after payment feels like risk. A confirmation that lands in one minute keeps her calm and keeps her ordering.
